Sound familiar?

Three problems every pharma distributor deals with.

Write-offs you didn't see coming

You don't know a batch is expiring until it's too late. By then you've already dispatched it, or you're writing off dead stock worth lakhs. PragatiCRM sends alerts 30, 60, or 90 days before expiry — configurable per product category. Pharma: 90 days. Food: 14 days.

FEFO not being followed on the floor

Your SOP says First Expired First Out. Your warehouse team dispatches whatever is at the front of the shelf. PragatiCRM suggests the soonest-expiring batch for every dispatch. One confirmation and the right batch ships — no floor-level decision required.

Recall management is a manual nightmare

A supplier recalls batch B-2024-047. How do you know which customers received it? With PragatiCRM — search the batch number, see every invoice that included it, identify every customer and quantity. In 30 seconds. Not 3 days.

Batch management features

Everything your pharma distribution needs. All in one system.

No separate batch tracking module. No add-on. Every feature listed here is included in all plans from ₹2,999/month.

Batch and expiry tracking

Every product purchase creates a batch record with batch number, manufactured date, and expiry date. Quantity tracked per batch, per location. Unlimited batches per product.

FEFO deduction

When dispatching, PragatiCRM orders batches by expiry date ascending — soonest expiring batch suggests first. Warehouse staff confirm or override. The right batch ships every time.

Expiry alerts

Dashboard bell shows count of products approaching expiry. Days threshold configurable per product category — 90 days for pharma, 14 days for perishables. Never discover expiry after dispatch.

Recall management

Search by batch number to see every invoice, every customer, every quantity dispatched from that batch. Export to Excel for regulatory reporting. Complete traceability in seconds.

Batch number on invoice

Batch number and expiry date printed on the invoice PDF line items. Your customers have full traceability. Your business meets regulatory requirements for batch documentation.

Location-wise batch stock

The same batch may be at warehouse A and warehouse B. Tracked separately per location. FEFO works per location. Transfers between locations update batch quantities at both ends.

Questions

Batch tracking questions

No — batch and expiry tracking is included in all PragatiCRM plans at no extra charge. You do not need a separate batch tracking module, add-on, or integration. It is built into the inventory and dispatch workflow from day one.
Yes — unlimited batches per product per location. Each batch has its own quantity, manufactured date, expiry date, and status (active/low/exhausted). When you receive a new shipment, a new batch record is created with its own batch number and dates.
Status changes to 'exhausted' automatically when quantity reaches zero. Historical records are permanently preserved. You can always look up which invoices included that batch number — useful for recall management even years later.
Yes. The expiry alert threshold is configurable per product category — 90 days is appropriate for pharma, 14 days for perishable food items. FEFO applies to both. The same batch tracking system handles pharma, food, nutraceuticals, and chemicals.
Yes. When a product is dispatched from a specific batch, the batch number and expiry date appear on the invoice PDF line items. Your customers have full traceability of which batch they received.
Yes. Pharma products attract 0%, 5%, and 12% GST depending on the HSN code. PragatiCRM applies the correct rate per line item based on the HSN code assigned to each product. Mixed-rate invoices are handled automatically. GSTR-1 export classifies each line correctly.
